Promedico distributes well-known health brands, such as Pure Encapsulations® and Solgar®, and provides pharmacies with marketing, sales, and training services. Since its founding in 1986, Promedico has grown to employ 136 people and supply over 180 products to more than 6,000 pharmacies in 33 countries. The company is headquartered in Graz. Promedico also owns the in-house creative agency Grafenberg, which provides design, print, and digital media services. To facilitate collaboration across different departments, Promedico needed a central location for image files and usage rights instead of traditional folder structures. With 4ALLPORTAL, all departments now have access to the same up-to-date information.
Grafenberg is Promedico’s in-house creative agency that collaborates with various departments to provide them with images and other media. However, in day-to-day practice, this often meant that employees from different departments, such as marketing, product management, or sales, had to request images from various sources or search local folders for the most recent version of an asset. It was often unclear whether approved or outdated files were being used. This resulted in follow-up questions and delays in daily work. Promedico already uses a Product Information Management (PIM) system to manage product information. A separate, centralized solution was needed for images and related information that could be accessed by different departments.
Image and usage rights are particularly important in this context. For day-to-day operations, it is crucial to establish which assets can be used and how, as well as the necessary information to consider. In day-to-day operations especially, a lack of centralized transparency often left employees unsure whether an image could be used legally or if additional approvals were required. These challenges made it clear that a centralized solution for managing digital media was necessary. Therefore, Promedico decided to implement a Digital Asset Management (DAM) system from 4ALLPORTAL. This system consolidates image material, information, and usage rights in one place, making them accessible to all departments.
Visual content, supplementary information, and usage rights should no longer be managed separately. It is important that employees can quickly find the assets they need and view the associated information directly.
This resulted in three key requirements for Promedico:
Promedico is expanding its existing system landscape with 4ALLPORTAL to include a digital asset management system. The company will continue to use its own PIM for product information, while 4ALLPORTAL will handle the central management of image material.
Images and other media are consolidated in the DAM and tagged with corresponding information, including details on image and usage rights. This enables Promedico to provide the relevant departments with access to well-maintained media libraries and relevant information on each asset.
Today, the relevant departments have access to a shared, up-to-date media library. Images and their associated information are collectively managed so relevant details do not need to be searched for or maintained separately.
This makes managing image and usage rights particularly easy. The relevant information is directly linked to the respective asset and available where needed during use.
Thus, the DAM complements the existing PIM by adding digital media management and creating a clear division of responsibilities between product and media data.
Since 2021, Promedico has been working closely with 4ALLPORTAL. The two companies have continuously developed and adapted the DAM system together since its implementation to meet new requirements arising from day-to-day business operations.
