About the Friedrichstadt-Palast Berlin

The Friedrichstadt-Palast in Berlin is the world’s largest theatre stage and a centre for artistic innovation and tradition. As a venue for world premieres, the Palast has established itself with unique productions and an unmistakable style.

Every year, more than 100 artists from 28 countries perform and captivate audiences on Germany’s most-visited stage. Particularly noteworthy are the ballet company, comprising 60 dancers, and the 18-piece show band.

In addition to its Grand Shows, the Palast is also renowned for its Young Shows and Europe’s largest children’s and youth ensemble. With 240 talented children and young people trained in dance, singing and acting, the Palast provides a valuable platform for future talent.

Initial situation

Prior to the introduction of 4ALLPORTAL, Friedrichstadt-Palast Berlin primarily managed its content on local servers, supplemented by a variety of other tools.

As the number of photo and video shoots, and the number of stakeholders involved, grew, the workflow became increasingly complex. This was because new galleries had to be created in external tools for every new shoot.

These were also stored on the server to ensure they were available to all staff, although approvals were still often given via email or following a conversation.

Challenge

The aim was to retain the existing folder structure visually, to make the transition as straightforward as possible for staff.

It was evident that the structure was neither clear nor reliable. Usage rights and approval statuses were not clearly visible. This caused uncertainty when handling assets on a daily basis and made a new solution necessary.

Furthermore, many assets were not enriched with metadata. Information on photographers or approved uses was not stored centrally. This significantly increased the risk of incorrect usage.

The resulting lack of transparency and reliability in handling assets prompted the search for a solution.

Similarly, it was not possible to search the existing server using filter functions. Previews were only possible to a very limited extent as programmes for displaying certain formats were lacking, and an in-house graphics department was unavailable.

Furthermore, additional technical hurdles, such as file size restrictions when sending via email, made work more challenging.

Solution

Friedrichstadt-Palast Berlin has chosen 4ALLPORTAL to implement a consolidated management system for all its media assets, bringing them together on a single, central platform. Following an evaluation of three Digital Asset Management (DAM) solutions, 4ALLPORTAL stood out thanks to its high level of flexibility in configuration, scalability, and intuitive user interface.

The primary requirement was to simplify core workflows, ensuring that all assets are stored consistently and carry clear metadata and tags. Features such as role-based usage rights and permission models, as well as functions designed to improve overview, such as the integrated traffic light system, visible licence durations and star ratings, are particularly valued.

The key users currently come from the marketing, PR and sales departments, particularly in the areas of social media and brand management.

In future, external service providers such as photographers and freelance graphic designers will also be integrated.
