By introducing the 4ALLPORTAL in 2024, we were able to significantly improve the quality of our marketing content and save an enormous amount of time. Especially for me as a content marketer, it has saved an incredible amount of time that I used to spend discussing versions, rights and adaptations of texts, images and documents in direct contact with our 28 locations around the world. Today, we have all files centrally stored in the 4ALLPORTAL and are always up to date.

There's only one thing I don't like about our day-to-day work: at our headquarters we always have the challenge of uploading large amounts of new data. Unfortunately, we've had a few problems with really large amounts of files. Long loading times are of course inevitable - but acceptable. However, it is really annoying when the upload stops at some point, or when errors occur with individual files.

We have set up the 4ALLPORTAL as a kind of self-service portal for our 28 locations. This saves us a lot of time in marketing. 1. we can speed up the approval process through simpler correction loops and centrally stored file versions. 2. avoid duplication of text, images and documents 3. we can avoid copyright infringements by managing them centrally in one tool 4. we have significantly improved the overall data quality over the last 2.5 years.

I like the ease with which I can edit existing files. This is also the topic that brings me personally into contact with the 4ALLPORTAL. The tool makes it super easy for me to either revise existing texts (or other file formats) and keep track of them via versioning - or I can create completely new texts (or other file formats) and fill them accordingly. It has also made it much easier for my colleagues across the company to manage and search for texts (or other file formats).

I don't have anything that I don't like. However, due to my role as a copywriter, I have a very narrow field of activity in the 4ALLPORTAL. I get along very well with the tool when it comes to texts, metadata, versioning, text parts, etc. So I don't really have any criticisms or things I don't like.

Before 4ALLPORTAL, we had the problem that we had many different text files for products, customer information and sometimes also insurance conditions circulating throughout the company. In some cases we really lost track of where the actual approved and final versions were. With the introduction of 4ALLPORTAL, this is no longer a problem. The 4ALLPORTAL is the central point where everyone in the company can find and use the version of a text (or other file formats) that has been released. This has saved a lot of time and nerves in many areas - and ultimately made work much more effective!

The 4ALLPORTAL is the central platform for managing and organising media files such as images, PDFs and videos. It offers a clear structure, powerful search and filter options and the possibility to save individual filter settings. Content can be easily uploaded and securely shared with partners, customers or external parties. With the eTicket feature, we retain control of access and customers benefit from customised access to their promotional materials.

In the beginning you often don't realise the full potential of the software. If we had realised this earlier, we would not have increased the requirements unnecessarily and delayed the go-live. The many configuration options require a balance between customisation and manageable complexity in order to implement projects efficiently. Despite the increased effort, it was more than worth it in the end.

The 4ALLPORTAL has made our work processes much more efficient and structured, while at the same time providing a high level of security in the management and exchange of media files. After replacing our previous DAM system, we reviewed and adopted the most important functions. While the technical transfer of our folder-based working method was unproblematic, the new design of the 4ALLPORTAL required a change. The platform provides us with excellent support in managing assets and metadata, especially thanks to folder-based and mass indexing.

The biggest benefit of the 4ALLPORTAL for us is the documentation of all image material. It is extremely important for us that all licences, all legal and technical requirements, all metadata etc. can be stored centrally. And that every user (internal and external) can access this content in real time.

For me, there is no real point of criticism in terms of technical use, as our very specific requirements and needs are met. But it is certainly the case that the 4ALLPORTAL could cover much more than we use, so I can't give an all-encompassing assessment. Only the design of the tool and its use could be a bit more modern and stylish. But to be honest, you get used to it in daily use.

For us, the 4ALLPORTAL solves a major problem we were facing at Warner Bros. Discovery: We were able to link our existing programme planning tool to the 4ALLPORTAL, ensuring that all assets were processed, used and up to date. As a result, we were able to significantly reduce the error rate, such as incorrectly used images, existing duplicates or incorrectly edited metadata for images. Which ultimately saves not only time, but a lot of aggravation.

As an international company, it was very important for us to be able to use a tool like 4ALLPORTAL to map all our digital workflows in one DAM system. As we are active in 21 countries, it was particularly important for us to maintain an overview in a central system - and this is what the 4ALLPORTAL offers us. We have built up an extensive media and image database and are perfectly positioned for the future.

For us at CEWE it was of course a great challenge at the beginning to gather the necessary data, content and approvals required for a tool like the 4ALLPORTAL. Especially with our international orientation. But in my opinion it can't work without this effort. With 4ALLPORTAL we have found a partner who only required this effort at the beginning. We were then able to define simple processes that minimised the effort for new content, images and documents during live operation.

For us at CEWE, the basic problem is that we have to provide our media and image database for different countries with different usage rights. We need to be able to control the data centrally, but we also need to be able to assign different usage rights for each country. The 4ALLPORTAL offers us this possibility and has already advised us relatively flexibly during the implementation phase and has adapted its own system to our needs (at least where possible).

In the four years we have been working with 4ALLPORTAL, we have rarely been told 'unfortunately not possible'. Thanks to the flexibility of the system, almost all requirements can be met.

There is room for improvement, especially in the area of styling. Even though a lot is already possible, some elements are complicated to add and difficult to style. But at least it can be done, so it's 'complaining on a high level'.

We manage our products in the 4ALLPORTAL, from where they are also linked to our webshop. This makes it very easy to manage product data and product texts. It is particularly helpful for us that people from different departments can now maintain their own data in the web shop. For example, the Visual Arts team can upload images independently without needing access to the shop itself. We also use 4ALLPORTAL's fantastic DAM to manage our image material. All of this is possible because the roles and rights system is extremely sophisticated and we can ensure that everyone can see exactly what they need to see and cannot see what they are not allowed to see. Another advantage is the way the different components of the system work together.

The tool provides a great way to centrally manage and share media files, making it much easier to share files and information within and outside the organisation. In addition, the software is very easy and intuitive to use, resulting in better organisation of files and faster access for internal and external users. Another strength of the software is its performance and the rapid availability of information, which improves workflows. I can highly recommend the DAM from 4ALLPORTAL!

Despite careful consideration and a close look at the software, I find it difficult to find any disadvantages worth mentioning. Only the customisation of metadata and roles requires a little practice, but this is negligible given the great benefits of the software.

The flexibility and adaptability of the software solution is a major strength. Almost any requirement can be met. Configuring the software is quick and easy. The combination of product data and image data in one place is also a great strength. Connecting peripheral systems to 4ALLPORTAL via the API interfaces is just as easy. Customised endpoints can be created very quickly, even with more complex logic.

This advantage can also be a disadvantage, because the solution is so flexible that requirements that do not belong in the PIM or DAM can be implemented very easily. The UI could probably be improved, but at the moment it is just nice to have.

We informed the 4ALLPORTAL team of our requirements and received a live demo with a customised 4ALLPORTAL waiting for us. This convinced us and we proceeded with the implementation. Again, the 4ALLPORTAL team and their partners were always competent and calm. Additional requirements? We'll do it! So far, nothing has been impossible with the 4ALLPORTAL.

The rights management is very powerful, but takes some getting used to. At present, only a small number of user interface changes can be made by the end user, and most require configuration. As the system offers virtually endless configuration options, it is often a challenge to adapt the tool to the desired use cases. It is therefore advisable to invest resources in the design and planning of the configuration so that the 4ALLPORTAL really covers the desired features.
